In the course of its daily business Devon County Council uses external venues to host a variety of business meetings, training sessions, public meetings etc. These venues range from small meeting rooms for up to 12 delegates, rooms for between 13 to 20 delegates, rooms for 21 to 50 delegates and large venues capable of accommodating 51 or more delegates. The facilities and equipment required also ranges from simple table and chairs to full audio visual set up and catering. These facilities are required in varying frequency over the whole geographical area of Devon a map showing the areas and how they are divided up is shown on page 16. At present the authority has several facilities that it owns with a range of internal venues available to use and this is then supplemented by external venues arranged on an ad hoc basis. It is the intention of this invitation to tender to culminate in a framework agreement with several lots covering a range of venues for each area of Devon this framework will be available to Devon County Council and may be used by other members of the Devon Procurement Partnership. In the last full financial year 2008 to 2009 the authority spent in the region of approximately 1 600 000 GBP on meeting rooms, venues and conferences, the majority of this was spent within the main concentrations of population of Devon but rooms / venues are required for different reasons and across the whole geographical area of Devon.
