UK-Glasgow: storage and retrieval services
Provision of offsite storage & management of records. Participating Authorities require secure offsite storage and management of records. Records will be boxed in A4 or A3 sized boxes. Boxes can contain a single record or multiple records dependant on the record size. Appropriate processes are required for the retrieval/collection of boxed records and the indexing, storage and disposal of said records as required. Records will only be transported within the appropriate boxes and only Participating Authorities representatives are authorised to remove records from a box. Service requirements include retrieval and delivery of records to locations throughout the Strathclyde area and the preparation of reports for Participating Authorities. Supply and delivery of suitable flat packed boxes and lids for the storage of the records is required. The storage location utilised by the Contractor must be suitable for the purposes of this Contract, must be secure and must have security arrangements to the complete satisfaction of the Chief Constable or his authorised representative. A satisfactory tracking system must be used by the Contractor to allow the tracing of any box or boxes and/or the records contained within said boxes. The contractor must provide a collection and retrieval service to and from any Participating Authority Office, as detailed in the Invitation to Tender (ITT), to the timescales below: 1. Monday – Friday 08:00 – 18:00; 2. Collection of boxes (new deposits and returned items) within 24 hours of receipt of request; 3. Records must be placed in final storage position (i.e. on shelf in building) within 24 hours of collection; 4. Standard Retrieval within 24 hours of receipt of request; 5. Emergency Retrieval within 2 hours of receipt of request. The Contractor must provide security measures, in both the transportation and storage of information, that safeguard the information, including index information, held by them on behalf of Participating Authorities. The Contractor will be required to destroy records upon receipt of an order and authorisation from Participating Authorities. The Contractor will be required to provide a range of inventories and management reports to Participating Authorities including, but not limited to: — Monthly transaction lists, — Monthly box storage statistics, — History of all transactions for specified boxes (on request), — And other reports on request.
