Print management and print production services. Post Office Ltd is seeking a supplier to provide print management and print production services. The scope of services includes print management, print production, distribution, storage, stockholding, MI, invoicing and print. Sourcing services, bundled as follows: bundle 1 covers print management services and bundles 2 to 11 cover print production and supplies. The contents of each Bundle can be summarised as follows: Print management is covered by Bundle 1 Services and Bundles 2 to 11 for print production services and supplies: [1]. Print management services bundle, including the following illustrative capabilities: (1.a) Print management systems and management information (1.b) Print supplier database with back to back contracts (1.c) Print sourcing and related sourcing capability (1.d) Print management team (1.e) Print management quality assurance and contract management [2]. Direct mail bundle- direct mail caters for all of the direct marketing undertaken to support business growth. Marketing campaigns comprise: (2.a) Ad hoc requests from multiple sources (2.b) A combination of on demand print and print for specific marketing campaigns (2.c) Campaigns comprising anything from Stamp catalogues through to T-shirts or mugs (2.d) Element of data management [3]. Point of Sale Bundle- Point of Sale encompasses all marketing print that is not mailed, and is produced for display in Post Offices, retail outlets, exhibitions, conferences, etc: (3.a) Leaflets, posters, application packs, RM product literature etc (3.b) Ad hoc requests from multiple sources (3.c) Combination of on demand print and print for specific marketing campaigns [4]. Envelopes & Paper Bundle - Envelopes are utilised throughout the business, for operational use within Mail Centres, Post Offices, etc., or for administrative purposes within the business. These can comprise of multiple varieties and sizes, peel and seal, gummed, self seal, window, non-window etc.: (4.a) Branded envelopes (4.b) Pre-paid envelopes, multiple varieties of 1st class and 2nd class (4.c) Pocket envelopes (4.d) Philatelic envelopes (First day cover etc) (4.e) Bureau de Change envelopes (4.f) Specifications designed to meet operational requirements (4.g) Personalisation overprinting [5]. Forms and Leaflets Bundle - This Bundle covers general operational print for use within mail centres, delivery offices, Post Offices, administrative offices, etc. and includes: (5.a) Accident report cards (5.b) Driver's manuals (5.c) Redirection forms (5.d) 1 to 4 colour forms, leaflets, cards, personalisation of products, and some digital requirements (for scanning and recording of captured information). Publications for Internal Communications Bundle - This category of print is generally small run standard print jobs that are used for internal communications within the business: (6.a) Manager's bonus booklets (6.b) Charity and other forms, leaflets and merchandise (6.c) Health & Safety posters and instructions (6.d) Disaster Recovery guides and instruction manuals (6.e) HR forms, booklets and posters [7]. Labels and Tags Bundle - Labels & Tags are critical to the effective operation of the mail services, and are utilised throughout the business. The variety of labels & Tags covers reinforced, thermal, self adhesive, perforated, individual, sheet, rolls, packs, etc. and covers items such as: (7.a) Labels used for operational purposes: tray labels, York labels, cage cards, bag tags, bag labels, sequencing cards, shipping labels (7.b) Special delivery labels and other revenue generating labels, Barcode labels, Tags (7.c) Christmas labels (7.d) Customs labels (7.e) Overprinted thermal labels for specific customers (7.f) Asset labels [8]. NCR Bundle - No Carbon Required products range from standard NCR pads and books through to special delivery books and more complex deposit slip books and Bureau de Change pads: (8.a) Multiple NCR forms, till rolls, padded/single part forms and leaflets for Post Office branches and operations (8.b) Receipt books, cash advance, ATM balance, vehicle waybill, delivery advice, repair requests (8.c) Consignment certificates, passport applications, advice notes, special delivery, manifest book (8.d) Some bar-coding requirements [9]. Plastic Bags Bundle - Plastic bags, required throughout the business generally for operational or customer use. The product range is extensive and covers: (9.a) Polylopes (9.b) Document enclosed envelopes (9.c) Damaged in post and redirection bags, special delivery bags (Polylopes), cash in transit bags, coin bags and some ad-hoc requirements (9.d) Links to security products and barcodes for special delivery bags (where labels are pre-applied prior to use) – currently bag supplier performs this (9.e) Specific technical specifications including adhesive qualities and tear strength [10]. Transactional Mail Bundle - Transactional Mail has a 100 % production requirement and high security requirements for processing of personal data. This service caters for the transactional services to all employees and pensioners, and redirections management: (10.a) Pensions P60 (annually), Pension Pay advice – weekly monthly and quarterly, Pension increase letters (annually), Benefit Illustrations including the Report and Accounts (annually), Current Value of Preserved pension letters including the Report and Accounts (annually), Pensioner mailing of the Report and Accounts (annually) and periodic Trustee mailings as requested. (10.b) Weekly and Monthly pay advices, expense advice (10.c) Employee P60 / P11D / P45 (10.d) Employment contracts (10.e) Long service awards letters and bank change letters (10.f) Redirections, reports, labels, renewal letters, keepsafe and pouches [11]. Security Print Bundle - This Bundle covers printing of high risk documents that require special security controls and /or specialist papers, and includes: (11.a) Cheque books (11.b) Postal orders (11.c) Post Office Payouts consisting of a unique bar code printed onto a standard letter or a barcode sent by email or SMS. Secure IT infrastructure is needed to support the product in terms of bar code management and customer data file transfer, all of which need to be carried out through a secure environment.
