Provision of record storage facility. Records management. II.1.5) Short description of the contract or purchase: Records management. English Heritage is the statutory advisor on the historic environment, champion of historic places in England and is responsible for the care of 400 historic sites. We require a record storage contractor to provide a flexible and responsive storage and retrieval service which will provide effectively for our records and enable us to exercise appropriate life-cycle management. English Heritage currently stores approximately 30,000 boxes measuring 1-1.4 Cu Feet containing mainly files measuring 33.3 x 24 cm). The records stored may both increase and decrease over the life of the contract and we are seeking a contractor who could support an increase of 25 % over the life of the contract. The services required are: — storage to a standard sufficient to preserve and protect our records and enable them to remain in good condition for as long as they are required. This should include clean storage areas and appropriate shelving along with the controls to maintain a suitable temperature and humidity to BS5454. The contractor will need to operate security to Government level 'Confidential'. Business continuity and disaster recovery procedures are also essential. Boxes to be provided by contractor. Provision of space for English Heritage staff to work on records if necessary is also required, — a retrieval service of c. 5 000 records pa within 24 hours. Emergency service to be available providing suitable protection in transit, — pick-up service available each week for quantities up to 100 boxes and location of boxes within 48 hours, — a flexible destruction service to meet a variable need each year of between 1 000-3 000 boxes, — a box inventory to be carried out as a separate project, either as part of uplift or during first 12 months of the contract on the first 15 000 boxes (exact numbers opted for dependant on cost) to enable English Heritage to operate consistent review, — the option of a scan-on-demand service. In addition, English Heritage requires a contractor who can provide good communication and work with English Heritage to achieve its goals – the contractor should provide a dedicated account manager and dedicated points of contact for ordering, retrievals and reporting. The contract will include specific service levels and associated service credits, where applicable, for retrieval, pick-up and delivery of records, accuracy and the provision of management and environmental reports. Separate performance measurement will be agreed for the achievement of the critical success factors for the Inventory project. The contract is due to commence on 1.8.2012 and will be for 4 years with the option to extend for up to 2 further years at the discretion of English Heritage. The total value of the contract includes the 2 x 1 year possible extensions plus the one-off box inventory. We are seeking a contractor who will work with us to improve and develop our approach to our records management and who will provide the specified services effectively and with value for money.
